The history of business communication is, of course, closely linked with the histories of communication itself and that of business operations. When the two merge, they become a vital part of successful commerce.

Communication is the process where a concept is shared between two living things. It can occur as a gesture, sound or visually in the form of pictures or print. Some of the first forms of visual communication came in the form of pictographs. People conveyed stories, histories or instructions through a series of illustrations usually drawn on the walls of caves. The second stage of written communication appeared as crude alphabets used to create a written language. Mobility of communication also occurred at this time, with the writing being found on clay, wax and tree bark. The next leap was that of the printing press during the 15th century. Next came the tremendous technological advancement using air waves and electronic signals: radio and telephone.

At every stage of communication development, so did business practices. The advent of common alphabets and a written language meant that craftsmen could order raw materials from previously unattainable sources. Consumers living outside of town could order products from tradespeople in town without having to make the trip. Invoices could be written and paid, and purchase orders sent. One could even surmise that international business practices began around this time. Since exploration was taking place, and wonderful new things like spices and fabrics were being brought back home, perhaps now written business communication made it possible for vendors to offer their high-end customers the latest discoveries.

It was not until the latter part of the 20th century that the new business phone systems was used to advertise for a business, through telemarketing and the facsimile. From its onset, the television was used for marketing purposes. When technology brought forth the computer and the internet, business communication radically changed once again. In fact the change was probably as important as when the printing press was invented. Not only could marketing spread further than ever before, but the speed in which it could occur was revolutionary. Business operations could now become much more efficient, further increasing profits. Consumers had more of a say in what they wanted and how they wanted to receive it. In many ways, the middleman was taken out of the equation. There was no longer the need for traveling salespeople. Customers could be reached in a much more cost effective manner through the use of computers and the internet.

Our business practices have become so reliant on these forms of media that it is hard to imagine life with out them. A moment’s reflection must convince anyone of the absolute truth of this statement. Almost in the same thought follows the inevitable conclusion that anyone who expects to handle important affairs should prepare himself for putting his proposals through at this crucial point.

It is a mistake to think that even the greatest and most logical courses of action will win acquiescence on the soundness of the proposition alone. Countless times throughout history, in business and in the destiny of nations, correct courses of action have been neglected or considered with disdain because of the ignorance of others and the inability of the speaker to present intricate details when challenged by a detractor. So often, he has been left to fume and rail powerlessly as obviously incorrect policies have been enforced, to the ultimate detriment of his organisation. Ultimately, this is due to an inability to present the facts in a way that can be understood.

This compares to the blood vessels of an organism; it is the very pulse of commerce. And yet, but for one thing, these vessels are rendered null. I speak now of communication itself – the lifeblood of today’s concern. This is the most fundamental medium of exchange between individuals.

We speak of money as the medium of exchange, in terms of which all property values are measured and transfers determined. With equal truth we may say that the actual medium of human exchange is language, in which every human thought must be minted before it is intelligible to other people.

For example, a manager must use the most appropriate medium of communication while communicating to the workers.  The manager must understand the most appropriate medium of communication while communication to different people.

Communication can be one-way in which no reply is required.  This can take different forms like a poster that is posted in the notice board.  This communication does not require to be replied to and in most cases, it just gives instructions. For example, a manager may issues an order like “TURN OFF LIGHTS” and posts it on the notice board. No one is expected to give feedback because it is a command.  However, even if people will not give official reply to such messages, they may write comments on it. The other form of communication is two-way communication. This is a form of commluncatoin which require to be replied to. This form of communication is given to targeted receiver only and they are supposed to give back their reply.

Communication in an organization can take  different directions.  The character of communication  varies greatly depending on whether this information is going  downwards, upwards, or sideways.  Vertical communication including  any communication that give orders or instruction or that proived and ask for inforation.  For example this form of communication can take the form of a manager communication with an employee. Vertical upward communication involves communication that describe results of action, provide information as requested, and make requests and appeals. Horizontal or sideways communication involves communication that is meant to keep equals information of that action that has been taken or results which have been achieved. It may also discuss means of tackling problems in unison. This form of communication mainly involves communication between colleagues in the workplace.

There are different channels of communication that are used in an organization. The most commlonly used channel of communication is spoken word. Manager will spend a lot of their time speaking to their employes and other management staff. Spoken communication is advantageous in the sense that it elicits prompt reply from the receiver. In addition, both communication parties can clear any doubt lingering  in the information passed. The other  channel of communication is written communication. Written communication in recognized as official communication. Written communication is  also used when managers want to reach many people since it would be difficult to use spoken communication.  In official communication, the commonly used form of written  communication is memorandums. Electronic communication is  the most recent channel of communication that mainly involves passing information through electronic medium. Although this medium of communication is considred faster compared to written communicaiotn, it is expensive and a bit complex because both parties must have access to the used electronic device. However, with increased use of technology  device like phones and  computers, this channel of communication is becoming common. This implies that failure  by managers to sustain  effective communication in an organization destroys the basic facbric the hold the organization together and the organization may slip to failure without knowledge of the manager.

This imlies that managers acts as center of the communicaiotn process and they have to create such  an envirometn that everyone feels free to communicate. Managers who uses intimidation and employ their own  allies to spy on what other peoepl are saying throttles effective communication in the organization. They create an atomospher of fear  and people fear to communicate openly. Effective organization communication require an environemtn of trust, openness, reifocing good commulnication practices, and also shared reponsibiltiy, all which contribute to open organiatoin where people can communicate without fear.
